Proposals and Contracts Coordinator

Location: San Antonio, TX

Job Summary:
As the Proposals and Contracts Coordinator, you will provide support to SecureInfo's Business Operations department by providing documentation management, order management, salesforce.com administration and proposal support/capture needs, as well as assist with marketing event planning.

Responsibilities:
Proposal and New Business Capture

  • Develop and maintain a repeatable proposal process
  • Write and update proposal content
  • Define and create proposal templates
  • Coordinate proposal content and deadlines from all proposal participants and subject matter experts
  • Oversee proposal through life cycle
  • Track Federal Sources IA, C&A Opportunities within the DoD, civilian, state and local governments
  • Research "competitive" landscape and provide insight
  • Work on boilerplate materials, resumes, past performance narratives, corporate overviews/capabilities statements, etc.
  • Organize Bid/No Bid and Proposal Review Meetings
  • Keep track of current RFI's, RFP's on government websites

Documentation Management

  • Track status of documents (agreements) through process of review, negotiation, acceptance and execution
  • Daily review and weekly reconciliation of outstanding agreements
  • Follow up with responsible party to keep process moving
  • Maintain all legal documents in virtual and physical files
  • Review documents for compliance with accepted standards
  • Prepare documents for signature
  • Route documents for review internally and externally, both with legal and partners
  • Ensure all parties have the fully executed documents and files updated
  • Follow up on status of documents internally, with partners and legal

Order Management

  • Review POs for acceptance to ensure compliance with quote, SOW or proposal
  • Routes POs to appropriate delivery agent for acceptance
  • Ensures A/R has valid orders for maintaining project data and resulting invoices

SalesForce Administration

  • Prepare Booked Orders/Pipeline Report to EMT, first and mid month
  • Create and maintain opportunities to support SBD, EMT and others
  • Manage user access to the application
  • Work with SalesForce support team to resolve problems
  • Book orders in SalesForce after acceptance
  • Maintain continuity of multiple orders, accumulating the revenue for extended projects

General Administrative

  • Openly communicate with management and staff to maintain business process flow
  • Communicate with partners, clients and staff
  • Coordinate shipping of marketing materials for conferences and trade shows

Qualifications:

  • Bachelor's degree preferred
  • At least 3 years experience in an support role, preferably in a business operations, proposal or contracts administration department
  • Proficiency with Microsoft Office products such as, Word, Excel and Outlook
  • Working knowledge of Microsoft Access and general understanding of database principles
